By using our services, our website (tooeasymate.com.au), or submitting any enquiry or lead form on Facebook, Instagram, WhatsApp, Google or any other channel, you consent to the practices described in this policy.

3. What personal information we collect

We may collect the following categories of personal information about you:

  • Identity information — full name
  • Contact details — phone number, email address, residential or business postal address
  • Property information — the address of the property where services are to be performed, photographs of the property (interior and exterior), descriptions of services requested
  • Service history — quotes provided, invoices issued, services delivered, payment records, scheduling preferences
  • Marketing preferences — whether you have opted in or out of marketing communications, your interactions with our social media posts and advertisements
  • Online activity — IP address, browser type, pages visited on our website, referring URL, interactions with our Facebook/Instagram content, and Meta Pixel event data (see Section 8)

We do not intentionally collect sensitive information (race, religion, political opinions, health information, etc.) and ask that you do not provide it.

4. How we collect personal information

We collect personal information directly from you in the following ways:

  • When you fill in a quote request form on our website, Facebook Lead Form, Instagram Lead Form, or third-party lead platform
  • When you call, text, message, email or WhatsApp us to request a quote, book a service, ask a question, or follow up on work
  • When you engage with our content on Facebook, Instagram or other social platforms (e.g. by liking a post, commenting, sharing, or sending a direct message)
  • When we provide services at your property, including taking before/after photographs of the work
  • From third-party referrals (e.g. real estate agents, property managers, strata managers, existing customers)
  • Through cookies and tracking pixels when you visit our website (see Section 8)

5. Why we collect, use and hold personal information

We collect and use your personal information for the following purposes:

  • Providing the services you have requested — quoting, scheduling, performing work, invoicing, taking payment
  • Communicating with you — confirming bookings, sending reminders, answering questions, providing service updates
  • Improving our services — analysing customer feedback, refining our service offering
  • Marketing (with consent) — sending promotional offers, newsletters, before/after social content, and retargeting advertisements on Meta, Google and other ad platforms. We will only do this where you have consented or where it is otherwise permitted under the Spam Act 2003 (Cth).
  • Posting before/after content publicly — we may share photographs of completed work on our Facebook, Instagram, Google Business Profile or website. We will obtain your explicit consent before posting any photograph that identifies your property address or shows interior detail. Identifying features (street numbers, signage) are blurred by default.
  • Legal and compliance — meeting our tax, accounting, employment, insurance and regulatory obligations
  • Resolving disputes — including making and defending legal claims

6. Who we share personal information with

We may share your personal information with the following categories of recipient, only where necessary for the purposes set out in Section 5:

  • Service partners — our own contractors, sub-contractors and crew who perform services at your property
  • Payment processors — Zeller Australia Pty Ltd (for taking card payments and issuing invoices)
  • Accounting and tax advisers — including Structured Tax for the preparation of company accounts and BAS filings, and the Australian Taxation Office for compliance reporting
  • Insurance broker and underwriters — for workers compensation, public liability and professional indemnity matters
  • Technology providers — including Google (Workspace, Calendar, Drive), Meta (Facebook, Instagram, Pixel, Lead Ads), WhatsApp Business, and any other cloud-based provider we use to deliver services
  • Referral partners — only where you have given consent
  • Legal authorities — where required by law, court order or regulatory request

We will never sell your personal information to a third party.

7. Overseas disclosure

Some of the technology providers we use store data on servers outside Australia:

  • Meta Platforms (Facebook, Instagram, WhatsApp, Meta Pixel) — stored in the United States and Ireland — used for advertising, lead capture and messaging
  • Google LLC (Workspace, Calendar, Drive, Analytics) — stored in the United States and multiple regions — used for email, scheduling and file storage
  • Zeller — stored in Australia — used for payments

By submitting personal information to us, you consent to your information being transferred to and stored in these countries, subject to the recipient’s own privacy protections.

8. Cookies, the Meta Pixel and online tracking

Our website uses the following tracking technologies:

  • Meta Pixel — collects data about your visit (pages viewed, time on site, actions taken) and matches it against your Facebook or Instagram account to enable retargeting advertising. You can opt out of personalised Meta advertising in your Facebook Ad Preferences.
  • Google Analytics and Google Tag Manager — collects anonymised information about how visitors use the website.
  • Cookies — small text files stored by your browser. You can control cookies via your browser settings.

9. Marketing and your right to opt out

We may use your contact details to send marketing communications — including SMS, email, WhatsApp and direct mail — promoting our services, offers or new content. We will only do this where:

  • You have expressly opted in (e.g. ticked a marketing consent box), or
  • We have an existing customer relationship with you and you have not opted out, in compliance with the Spam Act 2003 (Cth)

Every marketing email we send includes a one-click unsubscribe link. You can also opt out at any time by emailing info@tooeasymate.com.au with the subject line “Unsubscribe”. We action opt-out requests within 5 business days.

10. How we protect your information

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure. These steps include:

  • Storing data with reputable cloud providers (Google Workspace, Zeller, Meta) that use industry-standard encryption
  • Restricting access to customer data to authorised personnel only
  • Using secure password practices and two-factor authentication on critical systems
  • Promptly responding to any suspected data breach in accordance with the Notifiable Data Breaches scheme

No system is 100% secure. While we take all reasonable steps, we cannot guarantee the absolute security of your information.

11. How long we keep your information

  • Active customer records — for the duration of the customer relationship plus 5 years after the last service (to meet tax and accounting record-keeping obligations under Australian law)
  • Marketing list entries — until you unsubscribe or request deletion
  • Website tracking data — anonymised and held by Google Analytics and Meta for their default retention periods (typically 14–26 months)
  • Lead form submissions — for up to 24 months in our CRM, after which they are deleted if no conversion has occurred

When information is no longer required, we will securely delete or de-identify it.

12. Your rights: access, correction, deletion, complaints

Under the Privacy Act 1988, you have the right to:

  • Access the personal information we hold about you
  • Correct any information that is inaccurate, out of date, incomplete, irrelevant or misleading
  • Request deletion of your information, subject to our legal record-keeping obligations
  • Withdraw consent to marketing at any time
  • Lodge a complaint if you believe we have breached the Australian Privacy Principles

To exercise any of these rights, email info@tooeasymate.com.au with the subject “Privacy request”. We will respond within 30 days.

If you are unhappy with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC):

Our services are intended for adults aged 18 and over. We do not knowingly collect personal information from children under 16. If you believe we have inadvertently collected such information, please contact us and we will delete it.
